Payroll Services for Small and Mid-Sized Employers in Ahmedabad
Who it's for
This is for the engineering unit in Vatva or Odhav with a shop floor on daily attendance, the clinic with staff on shifts, and the services firm on SG Highway that has just crossed 10 or 20 people and now has ESI and PF to deal with. Usually the owner or one accounts person runs payroll alongside everything else. Outsourcing payroll to us takes the monthly calculations and filings off that person's desk, while you still pay salaries and challans from your own account. The Labour Codes and the Income-tax Act, 2025 have changed enough that an old salary sheet is no longer a safe template. We run payroll for proprietorships, partnership firms, LLPs and private limited companies.
What's included
- Salary computed from attendance and leave: paid days, leave without pay, overtime, arrears, advances and permitted deductions.
- Payslips for every employee on or before payday, and a monthly payroll register for your books.
- TDS on salary: tax projections, employee declarations and proofs, the monthly challan for you to pay, quarterly Form 138 statements and the annual Form 130.
- PF and ESI: enrolment of new joiners, the monthly returns, challans ready for you to pay by the 15th, and exit updates.
- Gujarat professional tax deducted from salaries above the exemption limit, with the challan ready on time.
- Joining and exit work: checking that every employee, new or existing, has an appointment letter, and full and final settlement with leave encashment, gratuity where due and TDS.
- A check of salary structures against the Labour Codes' wage definition, so PF, ESI and gratuity use the right base.
- Inspections or disputes that need a labour law practitioner: we coordinate with one and supply the payroll records.
Documents required
- Employee details: name, PAN, Aadhaar, bank account, joining date, salary structure and appointment letter.
- Monthly attendance and leave records, from a register or a biometric export, with overtime hours.
- UAN and ESI numbers of existing employees.
- Your PF, ESI and professional tax registrations, TAN and portal logins.
- Employees' tax declarations and proofs in Form 124, and Form 122 from mid-year joiners.
- Year-to-date salary, TDS, PF and ESI figures if you switch to us mid-year.
- For exits: the resignation or termination letter, last working day, leave balance and recoveries.
Typical timeline
Payroll runs on a fixed monthly calendar that we agree with you. You send attendance and leave by the agreed date, and the draft payroll comes back for your approval well before payday. Salaries go out by the 7th, the Code on Wages deadline for monthly wages. We prepare the challans and payment details, and you pay them from your own account: TDS by the 7th of the month after deduction (30 April for March), and PF and ESI by the 15th. Exit settlements run separately, since final wages are due within two working days of an exit and gratuity within 30 days. Setup usually takes a couple of weeks, longer if we start mid-year, because we first reconcile year-to-date salary, TDS, PF and ESI.
Why Ahmedabad businesses work with us
Our office is at Parswanath Chambers, near New Reserve Bank on Ashram Road. We work with businesses across Ahmedabad, and with businesses elsewhere in India when the work can be done online. We collect attendance, leave and salary changes from you each month, and settlements or salary revisions are gone through on a call or at a meeting fixed in advance. We also handle bookkeeping, TDS returns and income tax returns, so your payroll register, Form 138 statements and accounts work from the same data. The senior partner has more than 15 years of experience in accounting and tax, the other partner more than five.
Frequently asked questions
When does my business need PF and ESI registration?
ESI applies once you employ 10 or more people, and PF at 20 or more. The Code also lets the central government extend ESI to hazardous work with even one employee. Below 10, ESI registration is voluntary. Once registered, you must enrol every eligible employee and pay each month's contributions by the 15th of the next month. Each scheme also has a wage limit, which the government revises from time to time.
Do employees earning between ₹15,000 and ₹25,000 now need PF?
Yes, if your establishment is covered by PF. From 17 September 2026 the PF wage ceiling is ₹25,000 a month, up from ₹15,000. Employees with PF wages within that limit must be members of EPF, EPS and EDLI, including existing staff left out for earning more than ₹15,000. The employer must enrol them without any application from the employee. Members whose PF was worked out on ₹15,000 now contribute on their PF wages up to ₹25,000. The limit applies to PF wages as defined in the Code on Social Security, not gross salary.
How do the Labour Codes affect our salary structure?
The four Labour Codes, in force since 21 November 2025, use one definition of wages: basic pay, dearness allowance and retaining allowance. HRA, conveyance, overtime and similar items are excluded, but if they come to more than half of total pay, the excess is added back to wages. A low basic with large allowances can therefore raise the base for PF and gratuity. ESI used to be worked out on gross pay and now uses the same definition, so some staff who were above the ESI wage limit on gross pay may now come under it. Every employee of an establishment with 10 or more workers must now have an appointment letter stating designation, wages and social security benefits, including staff who were already on the rolls.
What is the professional tax slab in Gujarat?
Gujarat charges professional tax on salaries by monthly pay. Since 1 April 2022, an employee earning less than ₹12,000 a month pays nothing, and one earning more pays ₹200 a month, ₹2,400 over a full year. The employer deducts it from salary and pays it over, and is liable for it even if the deduction was missed. Within Ahmedabad city limits it is paid to the Ahmedabad Municipal Corporation, which collects it for the state.
What happened to Form 16?
For salary paid from 1 April 2026, TDS falls under section 392 of the Income-tax Act, 2025, and the annual certificate employees knew as Form 16 is now Form 130. The employer generates it on the income tax department's portal and must issue it by 15 June after the tax year ends. The quarterly TDS statement for salary is now Form 138, earlier Form 24Q, and employees give proofs for tax claims in Form 124.
